Electricity Connections

Prices are per outlet for the run of the show. Permanent building electrical outlets may not be used by exhibitors. All circuits are on 24 hours a day.

Scaled Booth Diagram and Labor

Please include a booth diagram showing the requested location of all outlets. You may download the Gaylord Texan Utilities Booth Layout. After completing your order, you will have the opportunity to upload the diagram and connect it to your order.

Rates do not include connecting equipment. Exhibitors are responsible for connecting their equipment to the utilities in the booth. Labor and materials will be charged to the credit card on file for booth setup based on the diagram specifications.

Additional charges will apply for requested relocation. The Hotel will also charge for exhibitor-installed cords that require troubleshooting or redistribution within the booth. All labor and materials for booth setup will be billed after the show.

Equipment

All materials and equipment provided by Gaylord Texan Resort & Convention Center remain the property of the Hotel and may only be removed by the Hotel at the close of the show.

The Hotel reserves the right to refuse connection to any exhibitor whose equipment is deemed unsafe by the Hotel’s electrical department. Open clip sockets, latex lamp cord wire, and unapproved multiplex attachment plugs are not permitted.

Cancellations and Services Not Used

Credit will not be given for services ordered and not used. All cancellations must occur at least 48 hours before the show opens.

All disputes must be filed by the exhibitor with the Exhibitor Services Department before the close of the show to be considered.

• Booth layouts should be attached to your order by selecting Upload Attachment from within the order.
• Rates quoted for connections cover only the delivery of services to the booth in the most convenient manner.
• Rates do not include connecting or routing cables within the booth area.
• Orders placed more than 14 days before the show are eligible for advance pricing.

Cancellation Policy

• Cancellations received five business days before the scheduled installation date are subject to 25% of the order total.
• Cancellations received within 48 hours of the installation date are subject to 50% of the order total.
• Cancellations received within 24 hours of the installation date, including on-site cancellations and no-shows, are subject to the full order amount.

Wired and Phone Connections

A scaled floor plan showing the requested location of all wired connections and phone drops must accompany your order.

Labor charges will apply for any requested relocation of a wired connection that has already been installed. The labor rate is $150 per hour.

You must provide a copy of your Texas Tax Exempt Certificate before your order can be processed as tax-exempt.
